Project Status Report

What are Project Status Reports?

Project Status Reports represent a periodic view of the key aspects of the Project and are usually published to senior Stakeholders within the Project. Project on Demand features a Project Status Reporting Tool that can be used to Generate new Project Status Reports and then Save, Print or Email them to selected email addresses.

The Project Status Reporting Tool is accessible by clicking the Project Status Reporting button on the main menu.

The Project Status Reporting Tool features two containers:

  • Archived Reports - Displays a list of all saved Project Status Reports and contains features to View and Remove them.
  • Generate Report - Used to generate new Project Status Reports. Displays key information about the current Project and has features available to select what information is included in the generated Report.

Archived Reports

The Archived Reports container displays a DataGrid of previously saved Project Status Reports. When each Report is saved the Saved Date and Saved By properties are recorded and displayed as the columns in the DataGrid.

Reports displayed are sorted in ascending order by Saved Date.

The container is equiped with an expander to collapse the content so as to create more room for the Generate Report container.

View

Selecting a Report and clicking on the View button will display a child window so the saved Report can be viewed. Alternatively the row can be double-clicked to perform the same action.

The Report Viewer is used to display Reports, see controls page for included features.

The displayed Report can be printed via the Print button at the bottom of the child window.

If the Close button is clicked the child window will close.

Remove

Selecting the Report to remove and clicking on the Remove button will display a removal confirmation window. If Cancel is clicked the confirmation window will close and the Report will not be removed. If Yes is clicked the selected Report will be removed and a successful removal message will be displayed at the bottom of the application.

Print

The Print feature is available on the child windows displayed through the View and Generate features.

Clicking the Print button will display the web browsers built in print dialog so the Report may be printed.

Generate

The Generate Report container includes many features for customising the Project information displayed within the Project Status Report to be generated.

By default the basic Project details of: ID, Title, Description, Phase and Sponsors are displayed along with a customisable RAG rating and Overview text field that can be used to detail the state of the Project.

The rest of the information displayed within the Project Status Report is optional and is controlled via the checkboxes of the features detailed below.

Once all neccessary options have been checked, clicking the Generate new Report button at the bottom of the container will display a child window with the new Project Status Report displayed.

The Report Viewer is used to display Reports, see controls page for included features.

Date Ranges

Some of the optional information relies upon date ranges that by default will be generated by the application but can be futher customised by the User.

The date ranges will be displayed in the centre of the container next to the associated items.

Clicking the Define Range button located to the left of the displayed range will display a child window so the date range may be customised.

Different date values can be selected using the calendar controls provided and the date range can be set back to default by using the button located at the top right.

Clicking the Set Range button will set the date range to the currently selected values and close the child window.

Schedule

The following options default date range is: Project Start Date - End (end of last occuring Schedule Task).

Available option Description
Summary Summary of Schedule Tasks completion.
Completed Tasks Tasks with Progress of 100%.
Tasks in Progress Tasks with Progress of 0.1 - 99.9%.
Late Tasks Tasks that have not been completed by their scheduled completion date.
Milestone Tasks Tasks that have no Duration.

The following options default date range is: Today - End (end of last occuring Schedule Task).

Available option Description
Tasks starting next period Tasks starting in the date range defined.

Budget

Available option Description
Finance Summary The Finance Summary shows the Project’s current spend to date compared to the total forecast spend.

The following options default date range is: Project Start Date Month - End (end of last occuring Budget Cost).

Available option Description
Forecast vs Actual Summary The Forecast vs Actual Summary shows the Project’s forecast spend compared to the actual spend between user defined dates..

Risks

Available option Description
Summary Summary count of Risks by Impact x Probability Value.
High Risks All Risks with Impact x Probability Value of 15 - 25.
Medium Risks All Risks with Impact x Probability Value of 4 - 12.
Low Risks All Risks with Impact x Probability Value of 1 - 4.

Issues

Available option Description
Summary Summary count of Issues by Impact.
Very High Issues All Issues with Very High Impact.
High Issues All Issues with High Impact.
Medium Issues All Issues with Medium Impact.
Low Issues All Issues with Low Impact.
Very Low Issues All Issues with Very Low Impact.

Report Options

Also available at the bottom of the Generate Report container are 3 different Report related options:

Available option Description
Cover Page Displays a cover page on the first page of the Report.
Report Title Displays "Project Status Report" in the lower left corner of each page.
Page Numbers Displays page numbers in the bottom centre of each page.

Save

Once a Report has been generated it can be saved for historic and future viewing purposes.

Clicking the Save button will save the currently displayed Report, recording the Saved Date and Saved By properties for identification.

Upon successful completion a success message will display at the bottom of the child window and the newly saved Report will be displayed within the Archived Reports container.

Email

Once a Report has been generated the application can send it in an email as an attached PDF file.

Clicking on the Email button will flip the child window to display features for emailing the Report.

Recipient email addresses are displayed in a list on the left. Clicking the button beside a recipient email will display a removal confirmation window. If Cancel is clicked the confirmation window will close and the email will not be removed. If Yes is clicked the selected email will be removed.

A DataGrid of application Users with associated Login Emails is displayed on the right, clicking the button will insert that User's email into the recipient list. Alternatively an email address can be entered manually into the textbox field provided beneath the DataGrid and the button clicked beside it.

Once recipient email addresses have been inserted into the recipient list the Report can be emailed by clicking the Send button at the bottom of the child window.

Upon successful completion of the emailing process a success message will display at the bottom of the child window.

If the Back button is clicked the child window will flip back around to display the Project Status Report.
