Managing Projects

Projects can be managed in two locations:

Projects - The first page encountered upon successfully logging into the application, displays Projects the current User has access to and a feature to "Enter" these Projects. Administrator Users have access to additional features to Create, Open and Remove Projects.

Projects can be accessed by clicking the button in the application header then selecting the Projects option in the context menu.

Project Maintenance - The hub for managing an individual Project, provides access to Project Settings, Stakeholder, Group, Permission Template, Required Skill and Responsibility Management. Only accessible once "inside" of a Project.

Project Maintenance can be accessed by clicking the button containing the current Project's details in the left of the application header and selecting the Project Maintenance option in the context menu that opens.

Projects

The Projects page for Administrator Users is split into two tabs with different displayed items and included features:

Active - Displays Projects with Status of Not Started or In Progress.

Available features:

  • Enter a Project - Selecting a Project and clicking the Enter button or double-clicking a Project will allow the current User to "Enter" the Project, navigating to the Dashboard.
  • Create a new Project - Creates a new Project with a Status of Not Started.

Inactive - Displays Projects with Status of On Hold or Closed.

Creating a new Project

Clicking on the New button will display a child window so a new Project can be recorded.

Included within the child window is a feature to aid in the creation of Stakeholders for Administrator Users. By default a Stakeholder will be created for the current Administrator User creating the Project, additional Stakeholders can be created by checking the corresponding checkbox in the Create Stakeholder column. Any Stakeholders created can also be marked as a Project Manager using the checkbox in the Is Project Manager column.

Once all the required properties are set the new Project can be saved by clicking the Save button at the bottom of the child window. If any validation errors are encountered they will display at the bottom of the child window and must be rectified before the new Project can be successfully saved.

Upon successful completion of creating a new Project the child window will close, a success message will display at the bottom of the application and the newly created Project will be selected in the DataGrid.

If the Cancel button is clicked, the child window will close and nothing will be saved.

Opening a Project

Selecting a Project and clicking on the Open button will "Open" the Project setting it to a Status of In Progress. Alternatively the row can be double-clicked to perform the same action.

Upon successful completion a success message will display at the bottom of the application and the page will switch back to the "Active" tab where the newly opened Project will be displayed.

Removing a Project

Selecting the Project to remove and clicking on the Remove button will display a removal confirmation window. If Cancel is clicked the confirmation window will close and the Project will not be removed. If Yes is clicked a prompt will appear requesting the User type "Remove" into the textbox provided, this is an extra precautionary measure to make sure Projects aren't accidentally removed. If Cancel is clicked the prompt window will close and the Project will not be removed. If "Remove" is entered incorrectly the prompt window will close and an error message will be displayed at the bottom of the application. If "Remove" is entered correctly the selected Project will be removed and a successful removal message will be displayed at the bottom of the application.

Project Maintenance

Project Maintenance is the main hub for managing an individual Project, it features a menu on the left hand side with buttons for accessing the various areas needed to manage the current Project:

Clicking an available button will navigate to the associated page within Project Maintenance or display a child window depending on the management area needed. Group, Permission Template, Required Skill and Responsibility Management will be displayed as child windows so they can be utilised within other pages such as Edit Stakeholder.

Project Settings is the default page displayed when Project Maintenance is navigated to initially. Project Settings is split into three containers, the first displaying all key Project information with features to edit various Project properties. The other two containers display Phase Progression and Project Management Processes with features included to edit the displayed items.

Editing Project Details

Clicking on the Edit button will display a context menu with options to edit various properties on the current Project. Selecting the Edit Project Details option will display a child window so the Project's Title and Description can be edited.

Once all necessary changes have been made the Project can be saved by clicking the Save button at the bottom of the child window. If any validation errors are encountered they will display at the bottom of the child window and must be rectified before the Project can be successfully saved.

Upon successful completion of the editing process the child window will close and a success message will display at the bottom of the application.

If the Cancel button is clicked, the child window will close, any changes will be cancelled and nothing will be saved.

Editing Project Status

Clicking on the Edit button will display a context menu with options to edit various properties on the current Project. Selecting the Edit Status option will display a child window so the Project's Status can be edited.

Once all necessary changes have been made the Project can be saved by clicking the Save button at the bottom of the child window.

Upon successful completion of the editing process the child window will close and a success message will display at the bottom of the application.

If the Cancel button is clicked, the child window will close, any changes will be cancelled and nothing will be saved.

Note: Upon attempting to set the Project's Status to On Hold or Closed a confirmation window will be displayed informing the User the Status will render the Project inaccessible. If the User chooces to proceed the application will navigate to the Projects page and a warning message displayed at the bottom of the application informing them the Project is no longer accessible.

Editing Project Phase

Clicking on the Edit button will display a context menu with options to edit various properties on the current Project. Selecting the Edit Phase option will display a child window so the Project's Phase can be edited.

Once all necessary changes have been made the Project can be saved by clicking the Save button at the bottom of the child window.

Upon successful completion of the editing process the child window will close and a success message will display at the bottom of the application.

If the Cancel button is clicked, the child window will close, any changes will be cancelled and nothing will be saved.

Note: Changing the Project's Phase will change the items displayed within the "Current Phase Progression" container.

Editing Project Start Date

Clicking on the Edit button will display a context menu with options to edit various properties on the current Project. Selecting the Edit Start Date option will display a child window so the Project's Start Date can be edited.

Once all necessary changes have been made the Project can be saved by clicking the Save button at the bottom of the child window. If any validation errors are encountered they will display at the bottom of the child window and must be rectified before the Project can be successfully saved.

Upon successful completion of the editing process the child window will close and a success message will display at the bottom of the application.

If the Cancel button is clicked, the child window will close, any changes will be cancelled and nothing will be saved.

Note: If the Project has any Tasks defined within the Schedule or Costs defined within the Budget the Start Date cannot be changed. An error will be displayed at the bottom of the child window if attempted.

Manage Phase Progression

Selecting a Goal within the "Current Phase Progression" container and clicking on the neighbouring Edit button will display a child window so the Goal's Status can be edited. Alternatively the row can be double-clicked to perform the same action.

The available Status options will alter depending on if the Goal being edited is associated to a Document or an application tool such as the Schedule, see Phase Progression for details.

Once all necessary changes have been made the Goal can be saved by clicking the Save button at the bottom of the child window.

Upon successful completion of the editing process the child window will close and a success message will display at the bottom of the application.

If the Cancel button is clicked, the child window will close and any changes will be cancelled.

Note: "Parent" Goals may not have their Status changed as it is inherited from their "children".

Manage PMP

Selecting a "PMP Goal" within the "Project Management Processes" container and clicking on the neighbouring Edit button will display a child window so the Goal's Status can be edited. Alternatively the row can be double-clicked to perform the same action.

Once all necessary changes have been made the Goal can be saved by clicking the Save button at the bottom of the child window.

Upon successful completion of the editing process the child window will close and a success message will display at the bottom of the application.

If the Cancel button is clicked, the child window will close and any changes will be cancelled.
