Manage Stakeholders

Stakeholders control who has access to Projects and the extent of access they have to features and tools within the Projects themselves.

Common tasks associated with Stakeholder management include:

Create Stakeholders

A Stakeholder can be created in three different ways:

  • Created during Project creation.
  • Created when an Administrator User attempts to "Enter" a Project on which they are not an existing Stakeholder - a prompt will appear asking whether they wish to continue, if they do they will be assigned as a Stakeholder on the Project.
  • Created manually through Stakeholder Management.

Instructions for utilising the Create New Stakeholder feature of Stakeholder Management are as follows:

Process Step Action within Project on Demand
1 Navigate to Stakeholder Management.
  1. Click the button containing the current Project's details in the left of the application Header - this will display a context menu.
  2. Click the Project Maintenance option - this will navigate the application to Project Maintenance with the default page being Project Settings.
  3. Click the Stakeholder Management button in the side menu of Project Maintenance - this will navigate to Stakeholder Management within Project Maintenance.
2 Access the Create New Stakeholder feature of Stakeholder Management.
  1. Click the New button - a child window will be displayed.
3 Select a person to setup as a Stakeholder.
  1. Select a User in the DataGrid provided. Users displayed are not existing Stakeholders.
  2. Click the Create button - this will display a context menu.
  3. Either:
    • Click the Create option to save the Stakeholder and configure at a later time - a success message will be displayed and the child window will close. The newly created Stakeholder will be displayed and selected in the DataGrid.
    • Click the Create and Edit option to save and immediately configure the Stakeholder - a success message will be displayed, the child window will close and the application will navigate to the Edit Stakeholder page within Project Maintenance.

Configure Access

A Stakeholders access to application features and tools within a Project is controlled via various properties on the Stakeholder, these properties can be configured on the Edit Stakeholder page.

Instructions for configuring Stakeholder access to application features and tools are as follows:

Process Step Action within Project on Demand
1 Navigate to Stakeholder Management.
  1. Click the button containing the current Project's details in the left of the application Header - this will display a context menu.
  2. Click the Project Maintenance option - this will navigate the application to Project Maintenance with the default page being Project Settings.
  3. Click the Stakeholder Management button in the side menu of Project Maintenance - this will navigate to Stakeholder Management within Project Maintenance.
2 Access the Edit Stakeholder feature of Stakeholder Management.
  1. Select the correct Stakeholder in the DataGrid provided.
  2. Click the Edit button or double-click the row itself - the application will navigate to the Edit Stakeholder page within Project Maintenance.
3* Allow Stakeholder access to the Stakeholder Analysis Tool.
  1. Check the Project Manager property in the "Stakeholder Details" container.
4* Make Stakeholder a member of the Change Control Board so they are able to Approve Changes.
  1. Check the Change Control Board property in the "Stakeholder Details" container.
5* Restrict Stakeholders access to applications features and tools including Phase Progression and the View/Edit features of Tools and Documents - Note: this is only available on Stakeholders associated to Standard Users.
  1. Check the Limited View property in the "Stakeholder Details" container.
7* Allow Stakeholder access to the View/Edit features of application Tools.
  1. Check the View or Edit properties of Tools within the "Tool Permissions" container.
8* Allow Stakeholder access to the View/Edit features of Phase Documents or make them a Reviewer or Approver of Phase Documents.
  1. Check the View, Edit, Reviewer or Approver properties of Phase Documents within the "Phase Document Permissions" container.
9* Allow Stakeholder access to the View/Edit features of PMP Documents or make them a Reviewer or Approver of PMP Documents.
  1. Check the View, Edit, Reviewer or Approver properties of PMP Documents within the "PMP Document Permissions" container.
10 Save any changes made.
  1. Click the Save button at the bottom right hand corner of the page - a success message will be displayed and the application will navigate back to Stakeholder Management within Project Maintenance.

Import Stakeholders

Project on Demand offers the ability to import Stakeholders from other Projects, this can be done through the Import Stakeholders page, accessible from Stakeholder Management.

Instructions for utilising the Import Stakeholders feature of Stakeholder Management are as follows:

1 Navigate to Stakeholder Management.
  1. Click the button containing the current Project's details in the left of the application Header - this will display a context menu.
  2. Click the Project Maintenance option - this will navigate the application to Project Maintenance with the default page being Project Settings.
  3. Click the Stakeholder Management button in the side menu of Project Maintenance - this will navigate to Stakeholder Management within Project Maintenance.
2 Access the Import Stakeholders feature of Stakeholder Management.
  1. Click the Import button - the application will navigate to Import Stakeholders within Project Maintenance.
3 Select Project from which to import.
  1. Select a Project to import from in the drop-down provided at the top of the page.
4 Select person(s) to import as a Stakeholder.
  1. Check necessary Stakeholders in the Import column of the DataGrid. Stakeholders displayed are not already existing Stakeholders.
  2. Click the Save button in the bottom right hand corner of the page - a success message will be displayed and the application will navigate back to Stakeholder Management within Project Maintenance where the newly imported Stakeholders will be displayed in the DataGrid.
