About Actions

What are Actions?

An Action is a task or activity that needs to take place in order to progress the project.

Project on Demand provides an Action management solution that facilitates manual Action recording, impact assessment, execution and review management.

Project on Demand also features "Internal Actions", these Actions are generated and closed by the system through procedures triggered by Users, such as Sending a Document out for Approval.

"Internal Actions" and any other Actions assigned to the current User will appear in Pending Actions on the Project Dashboard.

How should they be used?

The manual Action management process within Project on Demand is as follows:

1 Identify and record the Action. Create a new Action.
2 Assign ownership of the action. Set the Owner.
3 Perform an impact assessment to evaluate the Impact of the Action on the Project. Set the Impact, Due Date and Review Date.
4 Execute the Action. Set the Status.
5 Monitor Action and perform periodic impact assessment reviews. Monitor Dashboard / Action Management for any overdue Action reviews.

The "Internal Action" management process within Project on Demand is as follows:

Project Management Process Step Action within Project on Demand
1 Start Review, Approval or Execution procedure for a Document, Change or Work Package/Test Plan. Trigger procedure in application, this will automatically generate an "Internal Action" with the relevant fields set (Description of procedure, Owner and Due Date etc).
2* Perform an impact assessment to evaluate the Impact of the Action on the Project. Set the Impact, Due Date and Review Date.
3 Execute the Action. Perform Action requirement through Pending Actions on Dashboard. Status will be set to Completed by the application.
4 Monitor Action and perform periodic impact assessment reviews. Monitor Dashboard / Action Management for any overdue Action reviews.

Action Properties

Name Description Possible Values
ID Unique Action reference number. Number - Generated by the application.
Description Full description of the Action. Text.
Identified By The person who identified the Action. User with Project access or text.
Identified Date The date the Action was identified. Autogenerated to date of creation but fully customisable.
Impact The estimated impact upon the Project if the Action should occur. (1) Very Low, (2) Low, (3) Medium, (4) High or (5) Very High.
Owner The person who has been assigned ownership of the Action. User with Project access or text.
Review Date The next scheduled review date. Autogenerated to date of creation but fully customisable.
Due Date The required date. Autogenerated to date of creation but fully customisable.
Status The current state of the Action. Open or Closed.
